After this setup, your studio can:

  • Reply to common questions instantly

  • Stay responsive even when you are shooting or editing

  • Give consistent answers across channels

  • Hand over to a human when needed

This win is about preserving momentum, not replacing human conversations.


A. Open AI Agent

  1. In the left sidebar, click AI Agent

  2. You will land on the Getting Started page


B. Go to Conversation AI

  1. On the Getting Started page

  2. Click Conversation AI

  3. Locate Create your first Conversation AI Agent

  4. Click Create Bot


C. Choose Bot Creation Method

  1. On the bot creation screen

  2. Under Prompt Based Bot

  3. Click Create New Bot


D. Select Bot Type

  1. You will be prompted to choose a bot type

  2. Select General Q&A

  3. Click Continue


E. Set as Primary Bot & Basic Bot Details

  1. Click 'Set as Primary Bot'

  2. Enter Bot Name

    • Example: Studio FAQ Bot

  3. Set bot status:

    • Off: If you're not ready for it to be deployed yet

    • Suggestive: AI provides real-time response suggestions within the chat window for a human user to review, edit, and manually send to the customer

    • Auto Pilot: The bot automatically responds to a contact on behalf of the business.

  4. Choose the channels you want this bot to handle:

    • Facebook Messenger

    • Instagram DMs

    • Email

    • WhatsApp

    • Google Business Profile

    • Website Chat

  5. Business Name: Enter your business name

  6. Auto-pilot mode

    • Wait time before responding: Adjust the delay for responses to create a natural flow.

    • Maximum messages a bot can send: Set the cap for the number of bot messages per interaction.

    • Under "Also allow this bot to respond to", choose if you want the bot to respond to images and voice notes or not

    • Send Bot to sleep when I send a message manually or through workflow: Decide if you want to temporarily disable the bot during manual interventions or workflows.

  7. Click Save


F. Bot Training/Knowledge Base

The Knowledge Base is where your AI Agent gets its information from.
It contains your studio’s details such as services, pricing, policies, and answers to common questions.
When someone messages you, the AI uses this information to give accurate replies instead of guessing.

G. Bot Goals/Prompt Configuration

The Bot Goals and prompt define how your AI behaves and what it is allowed to do.
They set the tone, boundaries, and rules the AI must follow when responding to enquiries.
Without clear Bot Goals and prompts, the AI may give incorrect answers or act outside your intentions.

H. Training and Refining the Bot

  1. You can test and train the bot either on Bot Training tab or on the right hand side of the screen in Bot Goals

  2. You can rectify your prompt as you test the bot (don't forget to refresh the test after any changes)

  3. Giving feedback to the bot by up-thumbing 👍 or down-thumbing 👎 the response is a way to train the bot to know what is a good or bad respond


I. Activating the Bot

  1. To activate the bot, choose either Suggestive or Auto-Pilot at the Bot Setting tab. (If you have followed the steps above, then please choose Auto-Pilot)


J. Test the Bot

  1. Send a message from a connected channel (for example, FB or Instagram)

  2. Ask a simple question

  3. Go to Conversations

  4. Confirm the AI responds


Completion Check

  • Conversation AI bot is created

  • Bot is active

  • Bot responds to incoming messages

  • No booking or advanced actions occur
