Connect Facebook + Instagram (Meta connection)
A. Go to the Social Connection Area
In the left sidebar, click Settings
Inside Settings, click Integrations
Find the Facebook / Instagram section
Click Connect (or Connect Facebook)

B. Authorise with Facebook
A Facebook login popup appears
Log in using the Facebook account that:
Is Admin of the Facebook Page
Owns or manages the Instagram account
When prompted:
Select the correct Facebook Page
Ensure Instagram Business Account is selected
Approve all requested permissions
Complete the connection
C. Verify Facebook + Instagram Connection
Stay in Settings → Integrations
Confirm:
Facebook Page shows as connected
Instagram account shows as connected
If Instagram does not appear:
Check that the IG account is a Professional Account
Check that it is linked to the Facebook Page in Meta Business Manager
D. Test Facebook & Instagram Messages
Send a test Facebook Page message from another account
Send a test Instagram DM from another account
Go to Conversations
Confirm both messages appear as separate conversations with correct channel icons
Checkpoint:
At least one Facebook or Instagram message is visible in Conversations.

Connect Google Business Profile (GBP)
A. Go to Google Business Profile Integration
In the left sidebar, click Settings

Locate Google Business Profile

B. Sign in with Google
A Google login window opens
Log in using the Google account that manages the business profile
Click Allow to grant permissions
C. Select Business Profile
A list of business profiles appears
Select the correct business profile
Confirm the selection

After setup completes, remain on the Integrations page

E. Enable Messaging (if prompted)
If prompted to enable messaging, toggle Messaging to ON

Connecting Shared Studio Email
A. Open Email Services
In the left sidebar, click Settings
Click Email Services
You will see multiple sections such as:
Email Providers
SMTP
Personal Inbox
Default From Settings
B. Understand the Email Options (Before Connecting)
You may see several options. For most users, you only need one.
Personal Inbox
Used for sending and receiving 1-to-1 emails inside Conversations.SMTP
Used for sending emails via a custom mail server.
Required only if you already use your own SMTP provider or cannot use Gmail/Outlook.
You do not need to configure SMTP if you are connecting Gmail or Outlook via Personal Inbox.
C. Connect Shared Studio Email (Recommended Method)
Under Personal Inbox, click Connect Personal Inbox
Choose your email provider:
Google / Gmail
Microsoft / Outlook
Click Continue
Log in using the studio email account
Allow permissions for:
Sending emails
Reading emails
Inbox access
Complete the connection
D. Confirm Personal Inbox Connection
You are returned to Email Services
Confirm:
The email address appears under Personal Inbox
Status shows Connected
E. Set Default From Details
Still in Email Services
Locate Default From Name
Enter the studio name
Example:ABC Photo StudioLocate Default From Email
Select the connected studio email
Save changes
F. When to Use SMTP (Optional)
Use SMTP only if:
You already have an SMTP provider (e.g. Google Workspace SMTP, Outlook SMTP, custom mail server)
Or your email provider cannot connect via Personal Inbox
If you do not know what SMTP is, you can skip this section.
G. Set Up SMTP (Only If Needed)
Under SMTP, click Add SMTP
Enter the following details (from your email provider):
SMTP Host
Port
Username
Password
Encryption type (TLS / SSL)
Save the SMTP settings
Send a test email
Confirm the test email is delivered successfully
H. Test Email in Conversations
Go to Conversations
Click New Message
Select Email
Send a test email to yourself
Reply to the email from your inbox

Personal Inbox is for daily communication, not bulk campaigns

A. Open My Profile
In the left sidebar, click Settings
Click My Profile
B. Open Email Settings
Locate 2-Way Sync
Select email provider
Click Connect Email

Confirm email shows as Connected

How Studio and Personal Emails Work Together
The shared studio email is the default front door
Personal emails are used when:
A staff member replies personally
Ownership of the conversation is clear
All messages still appear in Conversations
Replies show who sent them
If a staff member leaves:
Remove their personal email sync
Conversations remain intact
Studio email continues working
What You Should Avoid
Do not rely only on personal emails
Do not skip the shared inbox
Do not mix unclear ownership rules
