  • Receive enquiries from social media, email, website chat, and Google in one inbox

  • See every message land inside Conversations, regardless of channel

  • Reply without switching apps or accounts

  • Preserve context across platforms in a single conversation thread

This win establishes one front door for all enquiries, before any automation, AI, or pipelines are added.


Connect Facebook + Instagram (Meta connection)

A. Go to the Social Connection Area

  1. In the left sidebar, click Settings

  2. Inside Settings, click Integrations

  3. Find the Facebook / Instagram section

  4. Click Connect (or Connect Facebook)

    Integration for GrowthStudio

B. Authorise with Facebook

  1. A Facebook login popup appears

  2. Log in using the Facebook account that:

    • Is Admin of the Facebook Page

    • Owns or manages the Instagram account

  3. When prompted:

    • Select the correct Facebook Page

    • Ensure Instagram Business Account is selected

  4. Approve all requested permissions

  5. Complete the connection

C. Verify Facebook + Instagram Connection

  1. Stay in Settings → Integrations

  2. Confirm:

    • Facebook Page shows as connected

    • Instagram account shows as connected

  3. If Instagram does not appear:

    • Check that the IG account is a Professional Account

    • Check that it is linked to the Facebook Page in Meta Business Manager

D. Test Facebook & Instagram Messages

  1. Send a test Facebook Page message from another account

  2. Send a test Instagram DM from another account

  3. Go to Conversations

  4. Confirm both messages appear as separate conversations with correct channel icons

Checkpoint:
At least one Facebook or Instagram message is visible in Conversations.


Connect Website Chat

  1. Go to Settings → Integrations

  2. Find Webchat

  3. Click Connect

  4. Copy widget code

  5. Install on website

  6. Send a test message from the website

  7. Confirm it appears in Conversations


Connect Google Business Profile (GBP)

A. Go to Google Business Profile Integration

  1. In the left sidebar, click Settings

  2. Click Integrations

  3. Locate Google Business Profile

  4. Click Connect

B. Sign in with Google

  1. A Google login window opens

  2. Log in using the Google account that manages the business profile

  3. Click Allow to grant permissions

C. Select Business Profile

  1. A list of business profiles appears

  2. Select the correct business profile

  3. Confirm the selection

D. Confirm Connection Status

  1. After setup completes, remain on the Integrations page

  2. Confirm Google Business Profile shows as Connected

E. Enable Messaging (if prompted)

  1. If prompted to enable messaging, toggle Messaging to ON

  2. Save changes

F. Test Google Business Messages

  1. Open Google Search or Google Maps

  2. Search for the business name

  3. Click Message on the business profile

  4. Send a test message

  5. Return to GrowthStudio

  6. Click Conversations

  7. Confirm the message appears as a new conversation


Connecting Shared Studio Email

A. Open Email Services

  1. In the left sidebar, click Settings

  2. Click Email Services

You will see multiple sections such as:

  • Email Providers

  • SMTP

  • Personal Inbox

  • Default From Settings

B. Understand the Email Options (Before Connecting)

You may see several options. For most users, you only need one.

  • Personal Inbox
    Used for sending and receiving 1-to-1 emails inside Conversations.

  • SMTP
    Used for sending emails via a custom mail server.
    Required only if you already use your own SMTP provider or cannot use Gmail/Outlook.

You do not need to configure SMTP if you are connecting Gmail or Outlook via Personal Inbox.

C. Connect Shared Studio Email (Recommended Method)

  1. Under Personal Inbox, click Connect Personal Inbox

  2. Choose your email provider:

    • Google / Gmail

    • Microsoft / Outlook

  3. Click Continue

  4. Log in using the studio email account

  5. Allow permissions for:

    • Sending emails

    • Reading emails

    • Inbox access

  6. Complete the connection

D. Confirm Personal Inbox Connection

  1. You are returned to Email Services

  2. Confirm:

    • The email address appears under Personal Inbox

    • Status shows Connected

E. Set Default From Details

  1. Still in Email Services

  2. Locate Default From Name

  3. Enter the studio name
    Example: ABC Photo Studio

  4. Locate Default From Email

  5. Select the connected studio email

  6. Save changes

F. When to Use SMTP (Optional)

Use SMTP only if:

  • You already have an SMTP provider (e.g. Google Workspace SMTP, Outlook SMTP, custom mail server)

  • Or your email provider cannot connect via Personal Inbox

If you do not know what SMTP is, you can skip this section.

G. Set Up SMTP (Only If Needed)

  1. Under SMTP, click Add SMTP

  2. Enter the following details (from your email provider):

    • SMTP Host

    • Port

    • Username

    • Password

    • Encryption type (TLS / SSL)

  3. Save the SMTP settings

  4. Send a test email

  5. Confirm the test email is delivered successfully

H. Test Email in Conversations

  1. Go to Conversations

  2. Click New Message

  3. Select Email

  4. Send a test email to yourself

  5. Reply to the email from your inbox

  6. Confirm the reply appears in the same conversation thread

Completion Check

  • Shared studio email is connected

  • Emails can be sent from Conversations

  • Replies appear in Conversations

  • Default From Name and Email are correct

Important Notes

  • Personal Inbox is for daily communication, not bulk campaigns

  • SMTP is optional and only for advanced setups

  • Campaign emails are configured separately


Connect Personal Staff Email (Optional, for Multi-Staff Studios)

Path:
Settings → My Profile → Email (2-Way Sync)

Purpose

  • Allows individual staff to reply using their own email address

  • Preserves personal ownership

  • Useful for sales teams or account managers

Step-by-Step: Personal Email (2-Way Sync)

Each staff member must do this individually.

A. Open My Profile

  1. In the left sidebar, click Settings

  2. Click My Profile

B. Open Email Settings

  1. Locate 2-Way Sync

  2. Select email provider

  3. Click Connect Email

C. Authorise Email

  1. Log into the email account

  2. Allow all requested permissions

  3. Complete setup

D. Confirm Sync

  1. Confirm email shows as Connected

  2. Send and reply to a test email

  3. Confirm replies appear in Conversations under that user


How Studio and Personal Emails Work Together

  • The shared studio email is the default front door

  • Personal emails are used when:

    • A staff member replies personally

    • Ownership of the conversation is clear

  • All messages still appear in Conversations

  • Replies show who sent them

If a staff member leaves:

  • Remove their personal email sync

  • Conversations remain intact

  • Studio email continues working

What You Should Avoid

  • Do not rely only on personal emails

  • Do not skip the shared inbox

  • Do not mix unclear ownership rules

Final Recommendation (Lock This In)

  • ✅ Always set up Email Services → Personal Inbox

  • ➕ Optionally add My Profile → Email (2-Way Sync) for staff

  • ❌ Do not treat the two as substitutes

    • Connect WhatsApp Business

    • Complete verification steps

  2. Finish setup

C. Test WhatsApp Message

  1. Send a WhatsApp message to the connected number

  2. Go to Conversations

  3. Confirm the message appears

Note to include in guide:
WhatsApp setup can take longer. If verification is pending, proceed to Step 1 completion and return later.


Completion Check

This win is complete when:

  • A Facebook Page message appears inside Conversations

  • An Instagram DM appears inside Conversations

  • An email reply appears inside Conversations

  • (If connected) Google Business Profile messages appear

  • (If connected) WhatsApp messages appear
